Property asset register with room, condition, value and status filters

Landlords, letting teams & property managers

One reliable inventory record, from everyday assets to final check-out

Keep your own room-by-room records free, invite tenants into a fair evidence process, or book a verified professional when you need a formal report.

Property inventories should prevent uncertainty, not create another trail of spreadsheets, camera rolls, email attachments, and disconnected clerk reports. Social Home keeps the living record of each property in the same place as its rooms, tenants, maintenance work, inspections, and move-in journey. You can record furniture and appliances yourself, add dated photographs, track condition changes, and export your own data whenever you need it. When a tenancy calls for independent support, request quotes from verified inventory clerks or an accredited domestic energy assessor, accept the right appointment, and pay securely through the same workspace. Formal reports then move through provider drafting, manager review, a seven-day tenant comment window, and a preserved final version. You keep continuity before, during, and after the visit—without losing control of the underlying evidence.

Why teams invest

  • • Keep a free, searchable inventory throughout the tenancy
  • • Create formal reports with versioned manager and tenant review
  • • Book verified clerks and EPC assessors through quote and secure payment
  • • Connect check-out differences to evidence and maintenance follow-up

Available on all devices

Access from your computer: full

Use on your mobile device: partial

Your team can work seamlessly whether they're in the office or out in the field. Everything stays in sync automatically, so you always have the latest information at your fingertips.

Pain point

Your evidence is scattered when you need it most

A room photograph sits on one phone, the appliance list lives in a spreadsheet, and the signed report is buried in an inbox. When damage, a missing item, or a deposit question appears months later, your team has to reconstruct the starting position under pressure.

  • • Keep assets, condition, photographs, notes, quantities and rooms together
  • • See who changed a record and when through the audit history
  • • Carry the same evidence from move-in into check-out
  • • Download your raw CSV or JSON records without an upgrade

Pain point

A one-off report becomes stale the day after the visit

A traditional inventory may describe the property on one date, but repairs, replacements and tenant comments continue afterwards. If the formal document cannot connect with the day-to-day property record, teams create duplicate lists and lose confidence in which version is current.

  • • Link findings directly to maintenance follow-up
  • • Preserve every professional report version instead of overwriting history
  • • Keep tenant comments attached to the exact review copy
  • • Separate a final report from the living asset register without splitting the evidence

Pain point

Finding the right professional takes too many calls

Inventory schedules, check-ins, check-outs, interim visits and EPC assessments often mean searching directories, checking credentials, repeating property details, comparing quotes and arranging payment in separate places. That delay is especially painful when a tenancy date is already fixed.

  • • Request several quotes from one property record
  • • See service-specific verification before choosing a provider
  • • Accept one quote without double-booking the request
  • • Keep the appointment, payment and resulting report connected

Key capabilities

What you'll love about this feature

A free inventory that stays useful every day

Build a practical record of what belongs in each property and room. Record condition, quantity, identifying details, purchase and warranty dates, value, status and private photographs, then search or filter the register as your portfolio changes.

  • • Use the web workspace for oversight and the mobile app while on site
  • • Scan identifiers, add photographs and update condition from the property
  • • See total units, recorded value, maintenance attention and warranty information
  • • Keep raw exports and existing records available when your plan changes

What this means for you: the inventory earns its place between tenancies too, supporting repairs, replacements, warranties and everyday asset control.

Formal reports with a fair review trail

Professional reports do not jump straight from a clerk's device to an unchangeable document. The provider submits a draft, your manager checks it, and the tenant receives a clearly dated review copy with seven calendar days to acknowledge or comment.

  • • Corrections create a new version rather than altering history
  • • Final reports preserve room schedules, evidence, readings, keys and comments
  • • Acknowledged and unacknowledged outcomes are labelled honestly
  • • An expired review window never pretends the tenant agreed

What this means for you: everyone can see which evidence was reviewed, what changed, and which exact version became final.

Verified services without leaving the property workflow

Choose the service you need, select the property and preferred dates, and let eligible providers quote. Inventory professionals need current identity and insurance checks; domestic EPC work also requires verified assessor accreditation.

  • • Book inventories, check-ins, check-outs and interim inspections
  • • Request a domestic EPC visit from an appropriately verified assessor
  • • Review price, timing and cancellation terms before paying
  • • Create the booking only after payment is confirmed securely

What this means for you: less chasing, clearer accountability, and one continuous record from request to final report.

Time-saving benefits

Remove repeated admin without removing human judgement

Social Home carries trusted details forward so your team does not have to rebuild the same property story at every stage. The inventory remains editable as an operational record, while formal versions freeze only after the review process is complete.

  • • Reuse property and room context when creating an inspection request
  • • Carry move-in items into check-out for a direct condition comparison
  • • Turn report findings into maintenance actions without retyping them
  • • Keep the accepted quote, paid booking, inspection and final document linked
  • • Finalise an unacknowledged review after seven days with the status stated clearly

Real-world scenarios

See how this works in practice

A new tenancy needs an independent inventory

Imagine this: your move-in date is agreed, but your team wants an independent schedule of condition. You request quotes from the property record, compare verified providers and cancellation terms, pay for the chosen appointment, and follow the report through manager and tenant review.

  • • The appointment and report stay attached to the tenancy evidence
  • • Your own asset register remains available before and after the visit

Check-out reveals a changed item

At check-out, a table is missing and a bedroom wall shows new damage. The report displays the move-in photograph and condition beside the check-out evidence. Your manager records the outcome, links repair work, and keeps the tenant's comment alongside the final version.

  • • Make the comparison from preserved evidence rather than memory
  • • Keep maintenance and deposit-review notes connected without declaring liability automatically

An EPC is approaching renewal

The property record shows that an EPC visit is needed. You request an assessor, and only providers with current domestic energy-assessor evidence can quote. Once payment is confirmed, the appointment appears with the property while the legal warning remains visible regardless of plan.

  • • Verification matches the service being delivered
  • • Compliance information is never hidden behind the marketplace paywall

Evidence-first promise

“A trustworthy inventory should make the evidence easier to understand for everyone. It should preserve disagreement honestly, keep the original record available, and never turn silence into consent.”

FAQs

Everything teams ask before they sign

Can I use the inventory without paying for a professional report?

Yes. The core asset register, condition photographs, search, audit history, tenant move-in and check-out evidence, countersigning, and raw CSV or JSON exports remain part of the core product. Professional authoring and marketplace booking are optional paid capabilities.

What happens if a tenant does not acknowledge the report?

The tenant has seven calendar days to acknowledge or comment. If the window closes without acknowledgement, the report can become final as unacknowledged. Social Home preserves that distinction and never describes silence as agreement.

How are professionals checked?

Inventory clerks need verified identity and current insurance before quoting. Domestic EPC assessors must also provide current accreditation evidence for that service. Expired verification prevents new quotes but does not erase previous work.

When am I charged for an external service?

You are charged only after reviewing and accepting a provider's quote, appointment timing and cancellation terms. The booking is confirmed after secure payment confirmation, and the provider pays Social Home's platform commission from their quoted fee.
